Executive Assistant

Established and reputable Private Equity firm is seeking an Executive Assistant to support Executives of the firm located in Manhattan Beach, CA. A successful candidate would be self-motivated, quick-thinking, flexible, and able to juggle multiple & diverse responsibilities with a strong emphasis on organization and unwavering attention to detail at all times. This is a demanding and fast-moving position that requires someone who is able to exercise good judgment and significant initiative that aligns with the best interests of the organization.

Executive Assistant essential job functions:

  • Provide direct professional and personal administrative support to 1-3 Executives
  • Schedule and coordinate the preparation of meetings, appointments, conference calls, video conferences, and events for 1-3 Executives
  • Arrange domestic and international travel and accommodations with precision and efficiency
  • Execute personal assistant tasks as needed, such as running errands and scheduling personal appointments and travel
  • Prepare and reconcile expenses on a weekly basis
  • Implement and maintain office policies and procedures
  • Coordinate and assist in planning special events throughout the year
  • Collaborate effectively as a team player on various office or operation related projects for the organization
  • Perform routine administrative duties, as needed
  • Greet clients and visitors and assist in ensuring that their time with the company is a success
  • Maintain effective and accurate organization of tasks and responsibilities

Ideal Executive Assistant candidates should have:

  • Bachelors or Associates Degree acceptable
  • First generation college students are encouraged to apply
  • Must have experience with booking international travel
  • Excellent organizational and communication skills
  • Strong problem-solving skills with the ability to see the big picture
  • High levels of flexibility, urgency, and discretion with confidential information
  • Strong interpersonal skills and ability to work comfortably with people at all levels of the organization
  • Positive attitude and team player, especially when faced with changing responsibilities
  • A belief that no contribution to the team is too big or too small
  • Understand how to prioritize and respond accordingly
  • Manage calendars and with the ability to anticipate calendar conflicts and manage last-minute changes
  • Naturally curious and willing and excited to learn the PE/SaaS Industry
  • Familiarity with Microsoft Office software, with a willingness to adapt to new technologies
