Established and reputable Private Equity firm is seeking an Executive Assistant to support Executives of the firm located in Manhattan Beach, CA. A successful candidate would be self-motivated, quick-thinking, flexible, and able to juggle multiple & diverse responsibilities with a strong emphasis on organization and unwavering attention to detail at all times. This is a demanding and fast-moving position that requires someone who is able to exercise good judgment and significant initiative that aligns with the best interests of the organization.
Executive Assistant essential job functions:
- Provide direct professional and personal administrative support to 1-3 Executives
- Schedule and coordinate the preparation of meetings, appointments, conference calls, video conferences, and events for 1-3 Executives
- Arrange domestic and international travel and accommodations with precision and efficiency
- Execute personal assistant tasks as needed, such as running errands and scheduling personal appointments and travel
- Prepare and reconcile expenses on a weekly basis
- Implement and maintain office policies and procedures
- Coordinate and assist in planning special events throughout the year
- Collaborate effectively as a team player on various office or operation related projects for the organization
- Perform routine administrative duties, as needed
- Greet clients and visitors and assist in ensuring that their time with the company is a success
- Maintain effective and accurate organization of tasks and responsibilities
Ideal Executive Assistant candidates should have:
- Bachelors or Associates Degree acceptable
- First generation college students are encouraged to apply
- Must have experience with booking international travel
- Excellent organizational and communication skills
- Strong problem-solving skills with the ability to see the big picture
- High levels of flexibility, urgency, and discretion with confidential information
- Strong interpersonal skills and ability to work comfortably with people at all levels of the organization
- Positive attitude and team player, especially when faced with changing responsibilities
- A belief that no contribution to the team is too big or too small
- Understand how to prioritize and respond accordingly
- Manage calendars and with the ability to anticipate calendar conflicts and manage last-minute changes
- Naturally curious and willing and excited to learn the PE/SaaS Industry
- Familiarity with Microsoft Office software, with a willingness to adapt to new technologies
